Privacy Policy

Last updated: April 8, 2026. This policy describes how ClaimVox, LLC ("ClaimVox," "we") collects, uses, stores, and protects information when plaintiff law firms and their callers interact with our voice and communication AI services.

1. Who we are

ClaimVox, LLC is a Texas limited liability company headquartered at 815 Walker Street, Suite 453, Houston, TX 77002. We provide voice and communication AI services to plaintiff law firms ("firm clients"). When we operate AI agents on behalf of a firm client, the firm client is the data controller and ClaimVox acts as a service provider.

2. Information we collect

When our agents handle a call, message, or workflow on behalf of a firm client, we may collect:

  • Call audio — recordings of inbound and outbound voice interactions
  • Call transcripts — text representations of those interactions
  • Caller information — name, phone number, language, address, and any case-relevant facts the caller chooses to share
  • Workflow metadata — call duration, qualification scoring, agent routing, transfer events, consent timestamps
  • CRM data — case fields the firm client authorizes us to read or update
  • Account contact data — names, emails, and firm details from people who request a demo or sign up for product updates

3. How we use information

We use collected information to:

  • Operate the AI agents the firm client has hired us to run
  • Qualify, route, and follow up on callers per the firm client's instructions
  • Update the firm client's CRM and deliver daily reports and transcripts
  • Capture, log, and refresh consent in accordance with TCPA and similar regulations
  • Maintain audit trails for supervision and quality assurance
  • Improve the reliability and accuracy of the agents we run for that firm client

4. We do not train public AI on your data

Your firm's call audio, transcripts, and CRM data are stored in a secure private cloud and never used to train public AI models. Any model improvements driven by your data remain scoped to your deployment.

5. Data storage and security

We store call audio, transcripts, and metadata in a secure private cloud with encryption at rest and in transit. Retention periods are configurable per firm client and are documented in the master services agreement. Access is restricted to authorized personnel and audited.

6. Sharing and disclosure

We share information only:

  • With the firm client whose workflow generated it
  • With service providers strictly necessary to operate the platform (e.g., cloud infrastructure, transcription, telephony) under written confidentiality obligations
  • When required by law, subpoena, or court order
  • To protect the rights, property, or safety of ClaimVox, our firm clients, or their callers

We do not sell personal information.

7. TCPA and consent

ClaimVox agents run with the firm client's approved disclosures on every call. Consent is captured, timestamped, and refreshed automatically. Opt-outs propagate immediately across all campaigns and contact lists. Callers can request opt-out at any time during a call or by emailing privacy@claimvox.com.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict processing of personal information about you. Because ClaimVox typically operates as a service provider for the firm client, requests should generally be directed to the firm whose workflow you interacted with. You may also contact us at privacy@claimvox.com and we will route the request appropriately.

9. Changes to this policy

We may update this policy from time to time. Material changes will be reflected in the "last updated" date at the top of this page and, where appropriate, communicated to firm clients directly.
